Privacy Policy
Your trusted partner in credential management. We take the privacy and security of your information seriously and are committed to protecting your personal and professional data.
1. Overview
This Privacy Policy explains how Med-Cert Pro collects, uses, discloses, and protects your information when you use our website, mobile app, and services.
Effective Date: October 6, 2026 Last Updated: September 28, 2026
This Privacy Policy explains how Tyche Services (d.b.a. Med-Cert Pro) collects, uses, stores, shares, protects, retains, exports, and deletes information when you use medcertpro.com, our web and mobile applications, credential-management services, employer services, sharing tools, renewal features, and provider services.
1. Scope and Product Boundary
Med-Cert Pro manages professional credential information. It is not a patient medical-record service, background-check service, or consumer-reporting service and is not intended to collect or maintain PHI, patient records, background checks, criminal-history reports, or consumer reports.
Intended information includes professional certifications, licenses, credential cards and numbers, issuing organizations, jurisdictions, issue and expiration dates, training certificates, continuing-education records, renewal records, employer credential requirements, credential-verification information, and related professional compliance records.
21. International Users
Med-Cert Pro is initially designed around U.S. credentialing and privacy requirements. International availability may require additional notices, transfer mechanisms, and local rights.
23. Apple App Store and Google Play
Store privacy disclosures will be maintained to accurately reflect app practices. This Privacy Policy is intended to remain consistent with Apple App Privacy and Google Play Data Safety disclosures.
24. Changes
We may update this Policy as the Services, technology, or law changes. Revised policies identify an effective date. Additional notice or consent will be provided where required.
2. Information We Collect
We collect information you provide directly to us, information generated through your use of our services, and limited device and security information needed to protect your account.
2. Information We Collect
Account Information
Name, email, telephone number where provided, account identifiers, authentication/security information, preferences, and account history.
Professional Credential Information
Credential type, issuer, credential/license number, jurisdiction, dates, renewal state, continuing-education information, verification status, employer requirements, notes, and history.
Credential Documents
Professional licenses, certification cards, training certificates, continuing-education certificates, instructor credentials, and related professional credential documents you choose to upload.
Employer and Organization Information
Organization, department, location, position, role, credential requirements, memberships, invitations, compliance status, and approval/access records.
Sharing Information
Selected credentials, permissions, expiration periods, recipient information you provide, access restrictions, sharing activity, verification activity, and revocation information.
Device and Security Information
Device type, OS/app version, IP address, authentication events, session identifiers, device-security or app-integrity signals, approximate network-derived location, failed-login events, and security events.
Location
When you choose nearby renewal search, we may process current device location or a location you enter, such as ZIP code/city. We do not require continuous background location tracking for credential management.
Support and Communications
Support requests, emails, technical information, and attachments you intentionally provide.
Payment Information
If paid Services are offered, payment may be handled by Apple, Google, or another authorized processor. Med-Cert Pro is designed to avoid storing complete payment-card numbers directly.
3. Information You Must Not Upload
Do not upload patient medical records, diagnoses, clinical notes, treatment information, prescription records, laboratory/imaging records, patient identifiers, patient photographs, health-insurance records, Social Security numbers, complete financial-account credentials, or unrelated sensitive personal information.
If a professional credential document unnecessarily contains sensitive information outside the intended scope, redact it before upload when appropriate.
4. No PHI / HIPAA-Regulated Workflow
Med-Cert Pro does not offer the Services for creating, receiving, maintaining, storing, or transmitting PHI governed by HIPAA. Users and organizations must not upload PHI. The Services are for professional credential and workforce-compliance information rather than patient medical records.
3. How We Use Information
We use your information to provide, maintain, and improve Med-Cert Pro, calculate credential status, send renewal reminders, support your account, and keep the service secure.
5. How We Use Information
We use information to create/manage accounts; authenticate users; secure the Services; maintain credentials and documents; calculate expiration/status information; provide reminders; provide sharing and employer features; provide renewal resources and nearby searches; process support; prevent fraud/abuse; investigate incidents; maintain backups; comply with law; enforce agreements; improve accessibility/reliability; and operate the Services.
6. Automated Processing and OCR
We may use OCR or document-processing technology to suggest information contained in uploaded credential documents. Automated results may be inaccurate and must be reviewed. Automated extraction is not issuer verification.
7. Credential Status
Med-Cert Pro may calculate Active, Expiring Soon, Critical, Expired, or Renewal In Progress from stored data. These are organizational tools and do not independently establish legal validity.
8. Continuing-Education Tracker Information
If you use the CE Tracker, we may process information you enter about completed courses or activities, including course title, provider, completion date, hours, certificate number, delivery method, content area, accreditation or approval wording you choose to record, notes, the credential to which you allocate the activity, and the renewal pathway you select.
CE entries are treated as user-reported professional credential information unless Med-Cert Pro expressly identifies a different verification status. Med-Cert Pro does not award, issue, accredit, certify, approve, or guarantee CE credit and does not use a user's CE entries to represent that the user is eligible for renewal.
We may use the jurisdiction stored on a professional credential or license to display a reviewed state or National Registry renewal rule and to calculate an informational estimate of recorded versus remaining hours. We use the credential's jurisdiction for this purpose rather than continuous GPS location. Requirements may change, and an automated calculation may be unavailable when Med-Cert Pro has not reviewed the applicable rule against an official source.
Users remain responsible for confirming current requirements and course acceptance with the applicable authority before renewal.
Subscription and Billing Information
Med-Cert Pro may process limited billing-related information necessary to determine whether an account has active access. Depending on how a subscription is purchased, this may include the billing provider, subscription status, product or plan identifier, billing-customer identifier, subscription identifier, purchase or renewal dates, expiration date, cancellation state, and transaction-verification information.
Med-Cert Pro does not need to store complete payment-card numbers when payments are processed by third-party payment providers such as Stripe, Apple, or Google. Those providers process payment credentials under their own terms and privacy practices.
For employer or organization accounts, Med-Cert Pro may process the number of seats purchased, seat assignments, organization subscription status, renewal dates, quoted or contracted pricing, and related billing-administration information.
Subscription records may be retained as reasonably necessary for accounting, fraud prevention, dispute resolution, tax, audit, legal, security, or contractual purposes even after an account or subscription is cancelled, subject to applicable law and Med-Cert Pro's retention policies.
5. Data Retention
We retain your information for as long as necessary to provide our services, comply with legal obligations, and support security, billing, and audit requirements.
14. Retention
We retain information as reasonably necessary for the Services, user-requested credential history, security, fraud prevention, disputes, legal obligations, audit integrity, contracts, and lawful organization retention. Different categories can have different retention periods. Retained information after deletion remains limited to the permitted purpose.
15. Account and Data Deletion
Users may request deletion in the application or at https://medcertpro.com/account/delete. Data not legally or contractually required to be retained will be deleted according to the published retention process. Organization-controlled compliance/audit records may be retained separately where lawful.
6. Security
We use industry-standard security measures to protect your information, including encryption, access controls, and regular monitoring, to keep your data safe and secure.
13. Security
Safeguards may include encryption in transit and at rest, access controls, strong authentication, passkeys/MFA where available, secure device storage, audit logging, private document storage, encrypted backups, session/device controls, monitoring, incident response, and periodic risk review. No security system guarantees absolute security.
22. Security Incidents
Med-Cert Pro maintains an incident-response process and will provide legally required notifications when applicable.
7. Your Choices
You can access, update, export, and manage your personal information, communication preferences, and account settings at any time through your Med-Cert Pro account.
12. Location Privacy
Nearby-provider search uses only the amount of location information reasonably necessary for the requested search. You may be offered ZIP/city search instead of precise device location. Med-Cert Pro does not use renewal search as a reason to build continuous location history.
16. Access, Correction, and Export
Users can review and correct account/credential information and can download a portable account export. Additional jurisdiction-specific rights will be honored where applicable.
17. State Privacy Rights
Depending on residence, applicable law may provide rights to access, correct, delete, obtain a portable copy, receive disclosure information, limit certain processing, opt out of qualifying sale/sharing/targeted advertising, or appeal privacy decisions. Med-Cert Pro will provide applicable rights based on jurisdiction and processing context.
18. Cookies and Analytics
The web application may use cookies for authentication, security, session management, preferences, fraud prevention, and limited analytics. Analytics should not include document contents, full credential numbers, authentication secrets, or uploaded files.
19. Mobile Permissions
The apps may request camera access to scan credentials, photo/file access to select documents, notifications for reminders/security alerts, biometrics for local authentication, and location only when you request nearby renewal search. Permissions can be controlled in device settings.
20. Children
Med-Cert Pro is not designed for children under 13. If information is collected from a child in violation of applicable law, appropriate deletion steps will be taken. Additional age restrictions may apply by jurisdiction.
